This submission, titled “Making Imagination Real with AI: A Schoolwide Class Substitution and Adjustment Management System,” presents an AI-assisted administrative system developed from the designer’s nine years of experience as an academic affairs coordinator. Built with Google AI Studio, Google Apps Script, Google Sheets, Gmail, and Google Workspace, the system provides a low-cost and easily deployable solution for managing class substitutions and schedule adjustments across the school. Through Google SSO, the system automatically identifies each teacher and displays a personalized weekly timetable. It also uses AI-supported matching logic to recommend suitable substitute teachers by comparing free periods, subject relevance, and class familiarity.
The system transforms a traditionally paper-based and administrator-centered workflow into a teacher-driven digital collaboration process. Teachers can initiate requests online, preview adjusted schedules, and complete mutual confirmation through one-click email approval. Once an agreement is reached, the result is automatically recorded in a Google Sheets database, used to generate official notices, and linked to payroll calculations for teaching-hour compensation. Reported outcomes include reducing each case from around 20 minutes to within 60 seconds, minimizing input errors and scheduling conflicts, saving approximately 80% of monthly administrative verification time, and reducing paper use by about 50%. Overall, this project demonstrates how AI can convert long-standing school administrative challenges into a practical, scalable, and zero-budget digital transformation model.
